The basic record
What to put in a pool chemical log
- Site and asset: name the facility, body of water, sample point, and equipment or loop when needed.
- Time: use the actual sample or test time, not just the time someone entered the record.
- Reading: name the parameter, value, and unit. Say free chlorine, total chlorine, or combined chlorine—not just chlorine.
- Source: name the technician, approved test method, or automated device. Say when a result was copied from another record.
- Quality context: add the reagent lot or expiry when required, meter calibration or check, device status, sample problem, or out-of-range result.
- Action: write what you saw, what you did under the approved procedure, who decided, and when and what the follow-up showed.
- Exception: mark a missed test, blocked access, equipment fault, lost connection, or any event with no valid reading.

Design the log for the next tech
The next technician should be able to tell if a number is a real observation, a copied entry, a device result, or a plan. Keep the first result when a repeat test changes the story.

Match each record to its required schedule
The 2024 Model Aquatic Health Code (MAHC) is a voluntary model, not federal law. It gives examples, not one schedule:
- Before opening, test free chlorine or bromine and pH.
- While open, it lists free chlorine or bromine and pH every two hours with manual disinfectant feed, or every four hours with automatic feed.
- Total alkalinity is weekly. Cyanuric acid is monthly, with extra conditions for stabilized chlorine.
Your adopted local rule and AHJ control. Check values, method, timing, fields, retention, and acceptance of an automated result. A service route does not set the schedule.
What a digital log can—and cannot—tell you
A clear log can show trends, gaps, repeat issues, and the link between a reading and an action. It helps route review and handoffs rely less on memory.
A log proves a record was made. It does not prove the water was in range or the test was valid. It cannot fill an untested gap, find the cause from one number, or prove compliance without the code, method, and review.
Retention, access, and local acceptance
Rules for keeping, viewing, signing, exporting, and accepting records vary by site and jurisdiction. Check the adopted code and authority having jurisdiction (AHJ) before choosing a system or deleting an old record. If the site needs a paper backup or manual checks, the digital log adds to the record; it does not waive those duties.
The record must follow the procedure
Follow the site’s approved sample and chemical-handling steps, the product label, and any review or sign-off rules. A neat dashboard cannot override local rules.
